Monthly evaluations are regularly done by many organizations who have made significant commitment to Managed IT services. However, many organizations do not consider that the costs associated with utilising managed service providers extend far beyond the monthly fee and therefore the dialogue around the price of managed IT services should be much more sophisticated than what most companies have today. Many companies may be “shocked” by the amount of money they’ll have to spend for a managed service, but most do not realize that by simply ignoring the issues with their current technology infrastructure or selecting a managed service provider strictly based on cost will create long-term negative ramifications to their organization.

A lot of Managed Service Providers (MSPs) will give you an easy way to buy all of your services at one low fixed monthly price. At first, this seems great, but as you continue to expand your user base at least quarterly, you’re forced into a never-ending renegotiation process. I usually do not like flat rate business models unless you have a very stable user base; however, I believe that the majority of businesses today do not fall into that category anyway. 

Most businesses fit very well into a per-user pricing model as it correlates to the way in which most successful businesses grow. A per-user pricing model also ensures that your managed service provider understands the same definition of a “user” as you do. Manufacturing and retail companies, on the other hand, may find the per-device pricing model to be more appropriate because they have a lot of equipment with relatively few traditional desk workers. 

Tiered packages (i.e., bronze/silver/gold) seem to offer a lot of options, yet can be frustrating since you always seem to need something from the next tier above what you can afford. A la carte pricing may seem flexible, but more than likely you will pay a premium for everything and end up spending more than you would on a bundled package.

It is easy to see how many users/devices impact cost, but what really drives costs up unexpectedly? The highest service level or SLA can double your cost versus normal business hours (24/7 vs business hours), and 15-minute vs 4-hour incident response times significantly impact budgets. 

Additionally, cybersecurity/compliance needs add high expenses. HIPAA Compliance adds significant monthly costs, yet businesses underbudget by 40-60% because base MSP packages exclude specialized monitoring/reporting required for HIPAA compliance. Cloud/hybrid infrastructure with multiple providers requires specialized skill sets a managed cloud service provider could give. Generic providers may cost less upfront than industry-specific providers, but you’ll pay long-term as they learn your industry-specific applications. 

How to Choose the Right Managed IT Provider for Your Budget 

Managed Services Providers (MSPs) can be tricky when trying to understand pricing and services. Before agreeing on a contract with one of these companies, there are three things you should clarify first – what’s included in the base package, what you’re charged for add-on services, and how they’ll respond to emergency situations. Also, find out what the MSP does to provide average response times for events, rather than solely relying on Service Level Agreements (SLAs). 

You should also request references from the MSP’s past clients who are in similar industries. Ask how they handle major incidents and what knowledge transfer process they utilize. 

Look out for signs that the pricing of the MSP is suspiciously low compared to others in the market; this is indicative of possible hidden costs related to your agreement. If there is no complete breakdown of the services provided to you by the MSP, then walk away. 

Always start with an initial contract term of one year (even when the service provider’s cost will increase by 10-15% annually). Flexibility in contract terms is much more important than saving a few dollars on start-up costs. Do not agree to MSPs’ contracts that are longer than one year and require you to enter into a three-year contract. Make sure your agreement includes a termination notice period of 60-90 days (in writing), ownership of data, no early termination fees except for the current month, and a documented transfer of knowledge. Be careful of the automatic renewal clause that requires you to give 120+ days written notice to cancel your agreement; many companies end up being locked into multi-year agreements due to not being able to cancel using a very narrow cancellation window.
